FieldCherry collects information that you provide directly to us, including:

Account Information: Name, email, password
Documents: PDF report templates and forms you upload
Audio Recordings: Voice notes captured during field interventions
GPS Location Data: Geographic coordinates and reverse-geocoded addresses (see section 3)
Photos: Images captured during interventions
Professional Data: Professions, tasks, and intervention details you create
Usage Data: App preferences, settings, and feature usage

2. How We Use Your Information

We use the information we collect to:

Provide, maintain, and improve our services
Process your audio recordings and documents using AI technology
Generate filled PDF reports from your intervention data
Automatically reverse-geocode GPS coordinates to human-readable addresses
Send you notifications about processing completion (if enabled)
Provide technical support and respond to your questions
Ensure security and prevent fraud or abuse

3. GPS and Location Data

Your Location Privacy Matters

FieldCherry uses GPS location data to enhance your field intervention reports:

When We Collect Location Data:

Only during active intervention recording sessions
Only when GPS stamping is enabled in Settings (you can disable it anytime)
Background location tracking is used to capture coordinates continuously during an intervention

How We Use Location Data:

Capture precise GPS coordinates (latitude/longitude) for each audio segment
Automatically fetch human-readable addresses via reverse geocoding API
Include location data in your generated reports for context
Display location history on intervention detail pages

Location Data Storage & Security:

GPS coordinates are stored encrypted in your secure account
Location data is never shared with third parties for marketing
You can delete interventions (including location data) at any time
Location data is user-scoped—only you can access your GPS history

Your Control:

Enable/disable GPS stamping in Settings ? Localization
Grant/revoke location permissions in your device settings
Location data is optional—the platform works without GPS if disabled

4. Audio Recording Usage

Your voice recordings are processed as follows:

Audio files are stored encrypted in cloud storage
AI/ML services process audio to extract text and fill document fields
Audio transcriptions are used solely for document generation
You can delete audio recordings at any time
We do not use your audio for training AI models without explicit consent

5. Data Security

We take comprehensive measures to protect your personal information:

All data is encrypted in transit (TLS/SSL) and at rest (AES-256)
Audio files, PDFs, and GPS coordinates are stored in secure cloud storage
Access to your data is protected by Azure AD authentication
Regular security audits and vulnerability assessments
Strict access controls—only you and authorized support personnel (with your permission) can access your data

6. Data Sharing & Third Parties

We do NOT sell your personal data. We only share data with:

Cloud Service Providers: Azure (Microsoft) for hosting and storage
AI Processing Services: Azure Cognitive Services for audio-to-text and document filling
Geocoding Services: To convert GPS coordinates to addresses
Legal Requirements: If required by law or to protect our rights

All third-party processors are bound by strict data protection agreements.

7. Your Rights

You have the right to:

Access: View all your personal data stored in FieldCherry
Rectification: Correct inaccurate or incomplete data
Deletion: Request permanent deletion of your account and all data
Portability: Export your interventions, forms, and data in common formats
Withdraw Consent: Disable GPS, notifications, or other features at any time
Object: Object to data processing for specific purposes

8. Data Retention

We retain your data as follows:

Active Accounts: Data is retained as long as your account is active
Deleted Interventions: Permanently deleted within 30 days
Account Deletion: All data permanently deleted within 90 days after account closure
Backups: Backup copies are purged within 180 days

9. Children's Privacy

FieldCherry is not intended for use by individuals under the age of 16. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or through the platform. Your continued use after changes constitutes acceptance of the updated policy.
